Separate the sale from the payment.
Understand cash sales, credit sales and part-payments with a worked example and a daily recording checklist.
A sale records what the customer bought
Record the date, item or service, quantity, rate and total. Whether the customer pays immediately or later changes the payment position, not the fact that the sale occurred. Keep a reference that lets you find the original transaction.
A receipt records money actually received
A fully paid sale can have a receipt for the whole amount. A part-paid sale has a smaller receipt and a remaining customer due. A later collection should reduce that due rather than create another sale. Confirm an electronic payment from the actual transaction record.
Use a simple daily check
Add the day’s sales separately from receipts. Identify receipts for old balances, customer advances and other money that should not be counted as today’s sales. Investigate differences before adjusting a balance. This operational distinction is not a substitute for advice on financial reporting or tax treatment.
