Guide

How to track business expenses without mixing them into stock.

If rent, goods, and money you take home all sit in one “kharcha” column, you cannot tell whether the shop is working. Split the outflows.

Three different outflows

Purchases of goods for resale. Operating expenses (rent, transport, packing, wages). Owner drawings. Only the first should increase stock.

Write a reason every time

Date, amount, method, one-line reason. “Miscellaneous ₹2,000” five times a week is how expenses become fiction.

Review weekly, not only at tax time

A weekly list of expenses compared with sales collections shows pressure early. Annual reconstruction from memory does not.

Common Questions

Questions people actually ask

How should a small shop track expenses?
Record each outflow with date, amount and reason. Keep goods purchases, operating expenses and owner drawings separate. Review the list weekly.
