Know what each customer still owes.
Build a customer dues register using opening balances, credit sales, receipts and reviewed adjustments.
Agree the opening balance
Choose a start date and reconcile the amount already due with the customer’s records. Keep the evidence for that opening figure. Do not also enter the old invoices as new sales if their value is already included in the balance.
Record the minimum useful details
For each event, retain date, customer, reference, sale amount, receipt amount and remaining balance. Use stable customer names or identifiers so similar names do not split the same person’s account.
Calculate and review the balance
Closing dues = opening dues + new credit amounts − receipts − approved reductions. A return or correction should have a reason and reference. Review aged balances regularly, contact customers respectfully and check disputed entries before requesting payment.
Keep payment evidence
Record the payment method and reference where available. A screenshot alone may not establish settlement: confirm the actual cash receipt or bank transaction before reducing the balance. Do not record a promised payment as money received.
